Smart Document Review

Reviewing important documents is still one of the most time consuming parts of consulting work. IT policies, security reports and continuity plans all take hours to go through by hand and it is easy to make mistakes. I wanted to design a way to take that pain away and make the process faster and more reliable.

Problem

Companies deal with a huge number of critical documents. Reading them line by line is slow, expensive and full of risks. The question was simple. How can they get the same level of accuracy without wasting so much time and effort?

Objectives

• Replace manual reviews with an AI system that does the heavy lifting
• Highlight the most important parts of each document so they are not missed
• Help businesses stay compliant with industry standards and keep their documents clear and accurate
• Keep the interface simple so anyone can upload, analyze and review without training
• Give organizations insights they can actually use to make better decisions

Goal

Imagine if reviewing a pile of policies and reports took minutes instead of days. The goal was to build a tool that could check accuracy and compliance while freeing teams to focus on more strategic work.

Outcome

The result was an AI powered review system with a clean and simple interface. It analyzes documents automatically, reduces errors and gives clear insights that help organizations make faster and better decisions.

During the early stages of the project, we used a collaborative brainstorming board to explore and refine ideas. This board helped us map out the user journey, identify key features, and align the design approach with the project objectives. It was essential in ensuring that every team member's input was considered, resulting in a well-rounded, user-focused solution.


Creating References for Document Review

To make the document review system useful, we first needed solid references. Subject matter experts created those references for each domain, like ITSM, based on existing standards. After that a domain leader checked the work and approved it. Only then could the references be used inside the platform.

In the final version this step was removed. The system uses AI to do this automatically.

Demo Video

After a brainstorming meeting about the demo video, we finalized the content and structure we wanted to display. Then I used Camtasia to create the video, which demonstrates the core features and functionality of the Intelligent Document Review process. This video was shown during demo meetings to give stakeholders a clear understanding of how the system works in real-time.



Domain Leaders

Domain leaders are key internal stakeholders responsible for reviewing and assessing the documents created by SMEs. Their role involves evaluating the submitted documents, leaving feedback, and either accepting or rejecting them based on set criteria. They have access to all comments, files, and revisions provided by the SMEs, allowing them to make informed decisions. Domain leaders can also add their own comments or replies to ensure collaboration and quality throughout the document's lifecycle.

Clients

Clients are businesses who need their documents reviewed to ensure they meet specific industry standards and regulations. They can easily select the document they’ve purchased and upload their file for review. The system simplifies the process, allowing clients to quickly submit their files for in-depth analysis. Once uploaded, the document is processed, and key insights are generated.

Report Generation

After the document is reviewed, clients receive a comprehensive report that addresses inconsistencies, potential improvements, and compliance with industry standards. This report provides actionable feedback, enabling clients to enhance the quality and accuracy of their documents
